Submitting a Guest Application

Learn how to complete, submit, and track the status of a Guest Application for an event.

ℹ️ Info: Guest Applications are part of the Event Programming feature. Event organizers use them to collect information from potential guests, like speakers, panelists, and meet & greet talent, before approving them to appear at an event. Not every field described below will appear on every application: organizers choose which sections and fields are enabled.

Starting Your Application

1. Open the application using the link, QR code, or "Apply" button the event organizer has shared, or find it listed on the event's public page.

2. The application is broken into steps shown at the top of the page: Submitted by, Guest profile, Event participation, and Review & submit. You can track your progress by watching which step is highlighted.


Step 1: Submitted By

This step asks who is filling out the application on the guest's behalf. This helps the organizer know who to contact with updates, questions, or decisions.

Fields marked with a red asterisk (*) are required. Click Next once you've filled out this step to continue.


Step 2: Guest Profile

This step collects information about the guest themselves, so the organizer can best introduce them at the event.

Guest information

  • Guest photo (click Upload to add one), First name*, Last name*, Display/stage name, Preferred name, Alias, Gender, Pronouns, Date of birth, Citizenship, Frequent flyer airline, Frequent flyer number, Known traveler number, Allergy notes, Dietary notes

Contact information

  • Company, Title, Phone number, Email, Address, Country of residence

Marketing information

  • Known for, Featured, Profile URL, Website, Video link, Facebook, X (Twitter), Instagram, YouTube, Twitch, Snapchat, IMDb, TikTok, Bio

Representation

If the guest has an agent or agency, enter their details here. If not, check I don't currently have representation to skip this section.

  • Agent: First name, Last name, and additional contact details

  • Agency: Business name and additional contact details

Click Save & continue once you've filled out this step to continue.


Step 3: Event Participation

This step covers what you will be doing at the event and any logistical needs.


Select sessions

Choose the session(s) the guest would like to participate in (e.g., Cocktail Hour, Welcome Reception, Meet & Greet). You must select at least one session to continue.

ℹ️ Info: Selecting a session does not guarantee placement. The organizer will review your application for the session(s) you've selected.

Event information

  • Days at show, Media needs, Artist sketch fee, Autograph cost, Autograph notes, Autograph description, Photo op cost, Table photo op cost, Combo table photo/autograph cost, Photo op notes, Panel, Print photos, Complimentary photos, Signage needed, Parking pass needed, Scheduling notes, Special requests

Event reference

List events the guest has previously attended, along with the organizer's name and email, as a reference. Click + Add reference to include more than one.

Click Save & continue once you've filled out this step to continue.


Step 4: Review & Submit

Before submitting, you'll see a full summary of everything you've entered, broken out by section: User information, Business information, Guest information, Contact information, Marketing information, Representation, Event information, and Event reference.

  • Review each section carefully. If anything needs to be changed, click the ✎ Edit button next to that section to jump back and update it.

  • Scroll to the bottom and check the box to confirm "I have reviewed my application and agree to the Terms and Conditions" of the event.

  • Once everything looks correct, submit your application.


After You Submit

Once submitted, you'll land on a confirmation page showing:

  • Status: Your application will show as Awaiting decision while the organizer reviews it. This will update once the organizer approves, rejects, or waitlists your application.

  • Confirmation code: A unique code for your submission, along with the date and time it was submitted.

  • Have questions? Click Contact organizer to reach out directly about your application.

  • Application summary: A read-only recap of everything you submitted, organized into the same sections as the review step, plus any Contracts that were generated as part of your application. Contract status (e.g., "Preparing") and the last modified date will be listed here as well.

ℹ️ Info: If the organizer generated a contract as part of the application, you may need to review and sign it separately. Check the Contracts section of your confirmation page for its status and a link to open it.


Tracking & Editing Your Application

You can revisit and check the status of your application(s) at any time:

1. Log in to your Eventeny account and hover over the Participate tab at the top of the page.

2. Find your application listed under the relevant category (e.g., Event Programming). Each entry shows the application title, deadline, event date, and current status (such as Approved, Awaiting decision, or Rejected).

3. Click View or View or edit to open your application. Whether you're able to make changes depends on the Restrict applicants from editing application setting the organizer chose; editing may only be available before submission, before approval, or not at all.

4. Click Contact organizer at any time if you have questions about your application's status.
