Assigning Booth Spaces to Applicants

Learn how to assign booths to approved applicants via the map editor or submission list, charge or refund booth fees, enable self-selection, and print your booth assignment list on Eventeny.

This article assumes that you have already created an application for your event, an event map, and booths for your map.

Enable Applicants to Select Their Booth in Your Application Settings

Make sure you are logged in to Eventeny.

At the top of the home page, hover over "Organize" and select the event you wish to assign booths to.

Select "Applications" under the "Artist, Vendors & Exhibitors" tab.

Click on the "Edit application" button for the application you would like to have your applicants choose a booth for.

Scroll down to the "Map" drop-down menu and select which map you would like to connect the application to. This map will be visible to applicants once they have been approved for the event.

'Payout Method' and 'Sales Tax Rate' settings with a list of maps under the 'Map' section, checkboxes are available for selection.

Under the "Vendors Can Select Their Booths" field, toggle the radio button to "Yes". If you don't see this option, you will need to create a map first.

Vendors can select their booths' toggle button with options 'No' and 'Yes'. The 'No' option is currently selected.

Once this button is toggled to yes, another field will appear with a requirement to select the maximum amount of booths that can be chosen per vendor.

Click the "Save: button at the top of the page to save your edits.

How To Assign Booths Via the Map Editor

Remember to assign a booth to an applicant, you will need to create a booth first and approve the application.

This is your event dashboard. On the left sidebar, under the "Home" tab, click "Maps."

On your maps page, click the ✎ Edit Details button at the bottom of the map you wish to assign booths to.

Now that you are in the map editor, go ahead and start assigning booths to applicants by clicking on a booth.

A criteria window should pop up to the left with booth information. Scroll all the way down and click the blue + Assign button.

The booth assignment window will pop up to the right of the map editor screen. Select the applicant type at the top of the modal: Artist, Vendor & Exhibitor, Sponsor, or Other Applicant. Below that you will find a list of approved applicants. Select which one you would like to assign the booth to by clicking the "+ Assign" button to the right.

How To View the Assigned Applicant or Remove Them from the Booth

Once you've assigned the booth, the right pop-up window will close automatically, and the map will save automatically as well. To see which applicant is assigned to each booth, just click on the booth on the map. Then, check the "Assignment" tab at the bottom of the left sidebar. Here, you'll find details of the assigned applicant, and you can click on their submission to view it. Additionally, you can remove the applicant from the booth by clicking on the top right of the assignment.

How To Assign Booths Via an Individual Submission

You can also assign booths by clicking "Submission list" or "Deals" under the Artists, Vendors & Exhibitors, Sponsors, or Other Applications tab on your event dashboard.

You should first be able to see the assigned booths under the applicant's submission as shown below.

Additionally, you can select an approved submission by clicking "view submission" to the right of the applicant (for sponsor deals, just click the business name).

Scroll down until you see "Booths/Spaces." It is the second to last section above "Office Notes" at the bottom. To assign a booth or space to the selected vendor, click "+ Booth/Space" to the right of the section.

A separate window should pop up to allow you to make your booth selection(s). If you have multiple maps for your event, make sure you have the correct map selected on the drop-down menu above the map.

Select the booth you want to assign the applicant to on the map. The ones that are available will be slightly illuminated, whereas the ones that are not available will be darkened. The one you select will fill with color and the title of the booth will only be visible in the "Selected booths" section at the bottom of the modal. When you are satisfied with your selection(s), click the blue ✔ Submit button at the bottom.

You can now see the booth you have selected for the applicant on their submission page. If you change your mind, simply click the "unassign" button in red text to the right of the booth section.

Charging an Applicant for a Booth upon Assignment

⚠️ Heads Up

Remember to charge an applicant for a booth, you must first ensure that the booth has a price associated with it. Review this article to learn how to create a booth and attach a price to the booth.

Navigate to your submissions list by clicking "Submission list" or "Deals" under the Artists, Vendors & Exhibitors, Sponsors, or Other Applications tab on your event dashboard.

Select an approved submission by clicking "view submission" to the right of the applicant (for sponsor deals, just click the business name).

Scroll down until you see "Booths/Spaces." Click "+ Booth/Space" to the right of the section.

Select the booth you want to assign the applicant to on the map. A modal will appear to identify whether the booth is available and the current price.

From there, you will see the following information:

Selected Booth(s): Indicates the booth(s) the applicant is either already assigned to or will be charged for.

Payment Information: Choose whether to charge the applicant for the booth by toggling between "Yes" or "No".

Update Payment Method: View the current payment information on file for the applicant and update the payment method if necessary before proceeding with the charge.

Total Amount Due: Displays the total amount to be charged for the booth, including processing fees if you've chosen to pass them along to the applicant.

Click the "Charge Booth(s)" button when you are done.

After the charge is processed, you'll find the charge and the assigned booth in the "Booth/Spaces" section of the applicant's submission. From there, you can choose to refund or unassign the booth.

Refund an Applicant for Booth Assignment

From the applicant's submission, scroll down to the "Booth/Spaces" section. Click on the "Refund" button next to the assigned booth.

You will have the option to provide a full refund or a partial refund.

If you decide to process a partial refund, a separate field will appear where you must enter the partial amount to be refunded. Select "Submit" when you are done.

The partial or full refund will be visible within the "Booth/Spaces" section. The applicant will receive an email notification of the refund.

Sample Refund Email

An email from Eventeny stating, 'You have been refunded.' It details a refund of $75.00 issued on Jul 30, 2024, at 10:09 am for a Food Vendors booth at SMALL BIZ CON - 1. The email notes that while the refund is immediate, it may take up to five business days to reflect in the account and provides a link to view the application status and contact Eventeny for support.

Print Your Map & Booth Assignment List

Go to the maps dashboard and select the "Print" option for the map you wish to print.

The Maps page displays two seating map options, Event Seating Map and Event Seating Map Copy, with their visibility set to public. Each map includes options for previewing, sharing, printing, exporting, copying, and removing, along with a toggle to switch between draft and live status.

A new tab will open with a map preview, where you can select print size, orientation, and options to include (such as background, icons, etc.). You’ll also be able to view the booths and their current appliance assignments. Once you've made your selections, click the 'Print' button.

The print settings dropdown displays size options for Ledger (11in x 17in), Letter (8.5in x 11in), A0, A1, A2, and A3, with the current selection set to Ledger. After clicking the "Print" button, you’ll be directed to your computer's print preview modal. There, you’ll be able to view the map with your selected options and see the full booth assignment in a list format.
