Upload Your Certificate of Insurance To Your Application

Learn how to manually upload a certificate of insurance to your Eventeny application after approval, including replacing, reviewing status, and FAQs about COI requirements.

Manually Upload Insurance

Login in to your Eventeny.com. Click on 'Your applications' from the 'Participate' tab at the top of the website.

After your application is approved, if proof of insurance is required by the event organizer, you will receive an email notification and a yellow banner will be visible with the following message. This message will let you know that a certificate of insurance (COI) is needed and will list any additional insured party information required for the policy.

Finding the Insurance/COI Address

To locate the insurance address required by the event:

  1. Open your approved application on Eventeny.

  2. Navigate to the Approval Instructions section at the top of the application.

  3. The organizer’s required insurance details, including the address to list on your COI, will be displayed here.

You can provide insurance in one of two ways:

Apply for a policy through our insurance partner, Vertical Insurance (evCover). If you intend to purchase a policy through Vertical Insurance instead, please review this guide: How to Apply for evCover Insurance.

If an event organizer has enabled the option to purchase insurance through evCover, you will see the following option to start applying for evCover with the button to "Browse rates".

Manually upload your own insurance policy. This button will allow you to upload your proof of insurance (COI) directly to your application.

Please note that some events are not eligible to use evCover and in those cases, after approval, you will not have the option to apply for evCover but will be required to source your own insurance policy and manually upload it to your application.

When you are ready to upload your insurance, click on the "Manually upload insurance" button to get started.

Choose the files to upload and select "Upload Document".

Tip: Ensure your COI file is in a supported format (PDF or JPEG) and within the allowed file size before uploading to avoid errors.

The proof of insurance will be under review until it is approved by the event organizer. If you need to replace the insurance before it is approved, use the "Replace insurance" button.

Once it is approved the status will be updated to "Approved" and you will be unable to replace the insurance if needed unless you contact the event organizer directly.

Troubleshooting Insurance Upload Issues

If you encounter issues with uploading or associating your insurance certificate on Eventeny, follow these steps to resolve the problem:

Verifying Certificate Uploads

First, check if your certificate is already uploaded to your application:

Note: Insurance details are only visible in approved applications. Ensure your application has been approved before attempting to locate these details.

  • Navigate to Participate > Your Applications in your Eventeny account.

  • Select View or Edit for the relevant application.

  • Look for the certificate in the Insurance Upload section or check for any banners indicating missing insurance requirements.

If the certificate is not present and you believe you have completed the purchase, proceed to the next step.

Uploading Certificates via Applications

If the "Share with event" option does not display any events to select, you can upload your certificate directly through your application:

  1. Go to My Applications in your Eventeny account.

  2. Locate the application for the relevant event.

  3. Click View or View/Edit for that application.

  4. Scroll to the Insurance Upload section and upload your certificate there.

Uploading the certificate through your application will automatically associate it with the correct event.

Contacting Support for Missing Records

If your certificate is still missing after verifying and uploading, it may be necessary to contact support. Provide relevant event details, such as the event name, so they can check for an evCover policy record associated with your application. If no record exists on Eventeny’s side, you may need to contact the insurance partner directly to locate the policy.

Frequently Asked Questions (FAQs)

Can I upload multiple COI files?

Yes. If your insurer provides multiple pages, you can upload them all.

What if the Additional Insured wording on my COI is incorrect?

You’ll need to request a corrected COI from your insurance provider and replace it (if still under review) or contact the organizer to request an update (if already approved).

The organizer rejected my insurance, what do I do?

A rejection notification will appear on your application with comments. Upload a corrected COI or ask your insurance provider to revise the document.

Can I remove an uploaded COI?

No. You can only replace it while it is still under review. Once approved, only the event organizer can reset or request changes.

What if I purchased evCover but want to switch to my own insurance?

You cannot refund or remove evCover once purchased. If your organizer allows alternate insurance, reach out to them directly for guidance.

What if I already uploaded insurance but got a new policy and want to update it?

You may replace it only if it’s still under review. Once approved, contact the organizer.
