Use the All Volunteers Dashboard

Learn how to use the All Volunteers repository on Eventeny to view, search, and manage volunteers across all events, and send email invitations to recruit volunteers for upcoming events.

The All Volunteers section on your Eventeny dashboard is the central repository of every volunteer across all of your events. This means you can see all artists, vendors, and exhibitors in one place, without needing to open each event individually.

Find Your "All Volunteers" Repository

Make sure you are logged in to Eventeny. From the homepage, hover over the "Organize" tab and select the "See all events" button.

This opens the master list of all volunteers tied to your account. At the top of the page, you’ll find summary charts to help you quickly understand volunteer activity across all events:

  • Status Breakdown: How many applicants are Approved, Rejected, Waitlisted, Withdrawn, or Awaiting Decision.

  • Number of Volunteers Applied: A month-by-month count of total volunteer applications received.

You can hover over each section of the pie chart or bar graph to view exact numbers and values, giving you a clearer breakdown of your vendor data.

Managing the Master List of Volunteers

Below the charts, you’ll see the complete list of all volunteers who have ever applied to any of your events. Each entry includes:

  • Name: Volunteer identification.

  • Email: The main contact email for the volunteer

  • Tags: Internal labels you’ve applied for easier sorting.

  • Events: Which event(s) the volunteer has participated in.

  • Job Title: The specific application they applied for.

From the master list of all volunteers, you can search across all volunteers using name, email address, event, or job title.

The Event and Application columns are also hyperlinked, so you can quickly navigate:

Event Column: Click to be taken directly to the specific event’s dashboard.

Application Column: Click to open the volunteer’s submitted application for a detailed view.

Send Invites to Volunteers

From the master list of volunteers, you can send email invitations to invite individuals to apply for an event. Click the Invite Volunteers button to begin the process.

In the Invite volunteers to your event window, select the event you want to invite volunteers to, then choose which event and application source to pull volunteers from. Add a custom message if desired, review the recipient count at the bottom to confirm who will receive the invitation, and click Send to email the invite.

After clicking Send, a confirmation message will appear indicating that your invitation was successfully sent. This screen also shows the number of successful deliveries and any bounced emails, so you can confirm the invite was delivered as expected.

After the invitation is sent, the volunteer will appear in your master volunteer list with an event tag indicating they were invited (for example, “Volunteers – Invite from event”). This confirms that the invitation was successfully delivered and is now tracked in your volunteer dashboard.
