⚠️ Heads Up: You must already have an active application with submitted applicants before you can approve, reject, waitlist, or withdraw applications.
Manage Artists, Vendors & Exhibitors Submissions
1. Make sure you are logged into Eventeny. At the top of the homepage, hover over the "Organize" tab and select the event you wish to work with.
2. On the left sidebar menu, click on "Submission List" under the "Artists, Vendors & Exhibitors" drop-down menu.
3. Click on the three dots and select the "view submission" button for the desired applicant.
4. At the top right of the submission details page, you will see several action buttons that allow you to manage the application status.
The green checkmark button approves the application
The red X button rejects the application
The first document icon with a clock adds the application to the waitlist
The second document icon with a minus symbol withdraws the application.
The edit icon allows you to make changes to the applicant's submission.
5. For any of the application actions, including approving, rejecting, waitlisting, or withdrawing an application, you will have the option to include approval instructions, a custom message, additional comments, and other notes that will be included in the email notification sent to the applicant.
However, for rejected or withdrawn applications, you will only be able to include a reason or comments rather than approval instructions.
6. Once you are finished entering any optional messages or comments, click the corresponding action button to finalize the status update, whether that is Approve, Reject, Waitlist, or Withdraw.
Manage Volunteer Submissions
1. On the left sidebar menu, click on "Volunteers List" under the "Volunteers" drop-down menu.
2. Select the "view submission" button for the desired applicant.
3. From the volunteer submission details page, you can quickly manage the applicant’s status using the action buttons located at the top right of the page.
Click the green “Approve” button to approve the volunteer
The red “Reject” button to deny the application
The gray “Waitlist” button to place the volunteer on the waitlist for later consideration
4. Once you click the “Approve” button, you will have the option to include approval instructions, additional comments, and department decisions before finalizing the application approval. After entering any optional information, click the blue “Approve” button to complete the action.
5. You will have a similar popup window when rejecting or withdrawing an application as well. However, for rejected or withdrawn applications, you will only be able to include a reason or comments rather than approval instructions.
Manage "Other Applications" Submissions
1. On the left sidebar menu, click on "Submissions List" under the "Other Applications" drop-down menu.
2. Select on the hyperlinked name of the desired application to view their submission.
3. From the submission details page, you can quickly manage the applicant’s status using the action buttons located at the top right of the page.
Click the green “Approve” button to approve the application
The red “Reject” button to deny the application
The blue withdraw button withdraws the application.
The gray “Waitlist” button to place the applicant on the waitlist for later consideration
4. Once you click the approval button, you will have the option to add approval instructions and additional comments before finalizing the application approval.
For rejected, waitlisted, or withdrawn applications, you will instead only be able to provide a reason. After entering your information, click the corresponding action button to finalize the status update.
