Find Your Volunteer Applications Page
- Make sure you are logged into Eventeny.
- At the top of the home page, hover over the "Organize" tab and select the event you wish to work with.
- This is your event dashboard. On the left sidebar, click the "Volunteers" tab and select "Applications."
Create a Department
- This is your Volunteer Application page. To find the Department section, scroll down the page until you see "Departments."
At the top right corner of the section, click the blue "Add new department" button to create a department.
- Your first step in creating a department is to add some general information such as:
- Title
- Minimum Age
- Number of Volunteer Slots
- Volunteer Shift Selection
- Description
- Cover Photo
When you are finished filling it out, click the blue "Save" button at the top right corner.

The department will populate back on the volunteer application dashboard. Once you have at least one department set up, you’ll see department cards for each department you’ve created.
Each department card displays:
Department Name and Image: The title and optional image you assigned when creating the department.
Volunteers: Shows how many volunteers are approved for that department compared to the total number needed. Only approved volunteers are counted toward your total progress. Pending or unapproved applicants will not appear in the tracker.
Shifts: Shows how many shifts currently have volunteers assigned out of the total number of available shifts. The progress bar measures how many shifts have at least one volunteer assigned. Shifts without any assigned volunteers won’t contribute to progress.

There is still more information to add. Click "edit and manage" written in blue text on the department.
- You will first be shown the general information you just filled out at the top of the editing page. You can edit this information at any time by clicking the "✎" symbol at the top right corner. Just don't forget to hit the save button in the same place when you're done!
Department Shifts
- As you scroll down the department editing page, the next section is shifts. Towards the top right of the section, you have three options: export shift details, new shift, and bulk shifts. Click here for an in depth guide about creating shifts (including bulk shifts).
Keep Track of Department Volunteers
The Volunteers section displays all volunteers who belong to the selected department. Each department will only show its own volunteers—for example, the Clean-Up Crew department will only list volunteers assigned to Clean-Up Crew roles.

From this section, you can take the following actions:
Send a group message to all volunteers in the department by clicking the Group Message button in the top-right corner. This is ideal for announcements or department-wide updates.
Assign shifts to an individual volunteer by clicking + assign shifts in the Actions column.
Send an individual message to a specific volunteer by clicking send message next to their name. This is useful for one-on-one communication, such as confirming shift details or sharing updates.
